Landing in a new country for university is exciting, but the first few hours can be overwhelming. You may need to clear immigration, collect your luggage, find the right exit and arrange transport, all while adjusting to an unfamiliar airport. An airport meet & greet service can help international students manage these steps with support from an airport representative.

This guide explains how an airport meet & greet works step by step, what an agent can and cannot do, which documents to carry, and the arrival rules for six study destinations. If your flight is already booked, you can request an airport meet & greet from airssist at any point while you read.

What an Airport Meet & Greet Is and What Each Package Covers

An airport meet & greet, also called meet and assist, is a service in which a representative meets you at an agreed point and accompanies you through airport procedures. Providers sell it in three forms: arrival (aircraft door or immigration hall to the exit), departure (curb or check-in to the gate) and connection (gate to gate between two flights). Packages differ, so read what is included rather than relying on the name.

airssist offers the service at the airports on its airport list.

Why International Students Struggle at Arrival Airports

U.S. institutions hosted 1,177,766 international students in 2024/25, including 363,019 from India, according to IIE’s Open Doors 2025 report. The UK enrolled 732,285 international students in 2023/24, per HESA data. Many of them travel long-haul, often alone, with checked bags and original documents, and have never used the arrival airport.

These are the arrival problems an airport meet & greet is designed to solve:

  • Long immigration queues, longer still when paperwork is incomplete or the officer asks follow-up questions.
  • Unfamiliar terminals and signage, especially when changing planes.
  • Language barriers at inspection points and information desks.
  • Heavy luggage after a long flight, sometimes with a spouse or children.
  • Finding the pickup point or licensed transport at the exit.

Passenger expectations on speed are high. The IATA Global Passenger Survey 2024 found that 70% of travellers expect to reach the boarding gate within 30 minutes with carry-on only, and 74% within 45 minutes with a checked bag. Those figures describe departures, but they show the standard passengers hold airports to, and why tight connections are where a guide helps most. Border control was also one of five areas passengers said needs improvement, according to coverage of the survey.

How an Airport Meet & Greet Works From Booking to the Exit

  1. Send your details. At booking you give your flight number, arrival time, terminal, number of bags, number of travellers and any mobility needs. If you are travelling with children, see these family travel tips.
  2. Flight tracking. The provider monitors your flight and adjusts the pickup for delays or gate changes. Send any change of flight straight away.
  3. Meeting point. The agent meets you at the aircraft door, in the immigration hall or in the baggage hall, depending on what the airport allows and which package you booked.
  4. Immigration. The agent takes you to the correct queue, or to a priority lane where the airport offers one, and stays with you until you reach the officer’s desk.
  5. Baggage. The agent finds the right belt and arranges a porter for heavy or multiple bags.
  6. Customs. The agent points you to the right channel and explains the declaration form if you are unsure what to tick.
  7. Exit and onward transport. The agent walks you to the pickup point, taxi rank or shuttle you arranged, such as a university transfer.
  8. When something goes wrong. For a late flight, a missing bag or a changed gate, the agent speaks to the airline desk and tells you where to wait.

What an Airport Meet & Greet Agent Can and Cannot Do

An airport meet & greet agent can:

  • Guide you to immigration, baggage claim, customs and the exit.
  • Explain signs and procedures, and speak to airport and airline staff for you.
  • Arrange porters and lead you to priority lanes where the airport provides them.
  • Track your flight and adjust the pickup if it changes.

The border decision always stays with the officer. You present your own documents and make your own customs declarations, and an agent cannot:

  • Skip immigration, customs or security checks.
  • Influence a border officer’s decision or admit you if your documents are not valid.
  • Enter restricted areas without airport clearance.
  • Guarantee that a priority lane is open, since that depends on the airport and how busy it is.

Who Benefits Most From an Airport Meet & Greet

The service pays off most in these situations:

  • Your first international trip, or your first time at the arrival airport.
  • A long-haul flight with several checked bags.
  • A large airport with long immigration queues or a terminal change.
  • A tight connection where one delay could cost you the next flight.
  • Travelling with a spouse or children.
  • Landing late at night or in a country where you do not speak the language.

It matters less if you land at a small airport with short queues and a university pickup already waiting. Check with your university’s international office whether it arranges airport pickup before you pay for a second service.

If several of these apply to you, book an airport meet & greet before you fly.

Documents to Carry and Arrival Rules for Six Study Destinations

Immigration inspection happens before baggage claim, so keep these in your carry-on, not your checked bag:

  • Passport. Check its validity against your destination’s rules before you fly.
  • Your visa or entry permit, and any letter issued with it.
  • Your admission or enrolment letter.
  • Proof of funds and your accommodation address.
  • Health documents your destination requires, such as a tuberculosis test result for some UK applicants.
  • Valid visas or permits for any spouse or children travelling with you.
Destination Permit Rules that affect your arrival
United States F-1 or J-1 visa You can enter up to 30 days before the program start date on your I-20 or DS-2019. Show your passport, visa and form to the CBP officer. If documents are missing, the officer can deny entry or issue Form I-515A, a 30-day temporary admission. See Study in the States.
United Kingdom Student visa You can arrive up to 1 week before a course of 6 months or less, or 1 month before a longer course, and never before the start date on your visa. Your eVisa is linked to your UKVI account. Most students cannot bring dependants, with exceptions such as postgraduate research courses; check gov.uk. See the UK Student visa guide.
Canada Study permit for courses over 6 months Carry your letter of acceptance, proof of funds and, for most applicants, a provincial attestation letter. Check the details on your permit before you leave the airport. See IRCC document requirements.
Australia Student visa (subclass 500) Work is limited to 48 hours per fortnight while your course is in session. Check your conditions in VEVO. See Study Australia.
Germany National visa for most non-EU students; some nationalities enter visa-free Register your address with the local registration office, usually within a week of moving in, then apply for a residence permit at the foreigners’ office within your first three months. See DAAD arrival guidance.
New Zealand Student visa for full-time study over 3 months You cannot start a course longer than 3 months on a visitor visa. See Education New Zealand and the NZ government visa page.

Rules change. Confirm every requirement on the official immigration site for your destination and nationality before you travel.

What to Check Before You Book: Notice, Pricing and Cancellation

Lead times for an airport meet & greet differ by provider and airport, so confirm the minimum notice before you pay. Book as soon as your flight is confirmed, and send any change of flight immediately. Late bookings may cost more or be declined.

Before you pay, check what the price includes. Providers usually charge a base fee plus extras such as porter service, lounge access, additional travellers, waiting time beyond a grace period and onward transport. Ask whether taxes and gratuities are included.

Cancellation and delay terms vary. Read the refund terms before booking; airssist publishes its terms for flight cancellations and its amendments, refund and cancellation policy. If your flight is delayed, tell the provider your new arrival time. If you do not show up at the meeting point and have not told the provider, you may be charged in full.

Booking for Families, Student Groups and Mobility Needs

  • Families. Tell the provider how many adults and children are travelling and how many bags you have, so the agent can plan porters and a pickup point. See airssist’s review of a family meet and greet at London Heathrow for what that looks like in practice.
  • Groups. Language schools, guardianship programmes and university intakes can book arrivals as one party. Ask the provider about group size limits and how it coordinates with the school or guardian.
  • Mobility needs. State them at booking so the provider can plan around them. Airlines usually arrange wheelchair assistance themselves, so request it with the airline as well.

Airport Meet & Greet FAQ for International Students

How is an airport meet & greet different from a private airport transfer?

A meet & greet assists you inside the airport, while a private transfer is a car and driver that takes you from the airport to your destination. The two are often booked together, but one does not include the other unless the package says so.

Is an airport meet & greet the same as VIP terminal service?

No. VIP terminal services usually take place in a separate lounge or terminal, while a meet & greet guides you through the regular terminal and its queues. Check each package description to see which one you are buying, and compare it with airssist’s VIP terminal service.

Is an airport meet & greet safe for a student travelling alone?

It can be, if you verify the booking. Match the agent’s name and your booking reference against your confirmation, keep your passport in your own hands until an officer asks for it, and send the agent’s contact number to a family member before you land.

How do I recognise my agent, and what if I cannot find them?

Ask the provider before you fly how the agent will identify themselves, for example with a name sign or a phone call. If you cannot find the agent after landing, call the contact number on your confirmation and wait in a public arrivals area, away from anyone you cannot verify.
